  • We will register the patient demographics into the EMR from the referrals, SNF, ALF, and Hospital portals.
  • We will get the list of patients for who want our care and services which are assigned to our list by respective facilities.

Eligibility & Benefits Verification

  • We will check and verify the Eligibility of patients from insurance and also, we will calculate the patient’s responsibility for the services at least 72 hours before the appointment.
  • So, we can notify the patient about his/her benefits as per the insurance. Even will double-check on our end that procedures or services should be covered under the patient’s plan and our doctor’s contract with insurance.
  • Will make billing alerts or global alerts for patients’ accounts in the EMR system so the front desk will know about patients’ financial responsibility from the insurance. We will also Provide Real time Smartsheet to track the information so that anyone can check the progress.
  • We will also check the previous balances from EHR and will enter in billing alerts also will attach patient statement so, the front office will inform the patient and collect accordingly.
  • We also take care of outpatient procedure authorization which is ordered by our provider.

Indexing of Incoming Faxes

  • We will keep and observe every single fax that is received in our inbox and will assign all category and modules and will work on them immediately.
  • We ensure that nothing will be missed and upon receiving any information via fax on each and each patient it will be categorized into the specific patient’s account.
  • For example, if any new referral or prescription is received via fax, it will be assigned to the person who works on Intake and will call the patient.

Pre-Charting
(Pre-Population of Notes)

  • For every New patient will request medical records to the previous provider or from the recent hospitalizations.
  • Once we receive the records will pre-populate the records to our EHR system under the patient’s account (i.e., History and physical, vitals, current medications, recent labs, X-rays, surgical history, family history, social history) prior to the appointment so that we can save Doctors & Nurses.
  • On the very next day after locking the notes by the provider will fax them to referring doctors The next day after locking the notes, the’ or the specialist office or the skill nursing facilities.

Reminders Calls

WE WILL PROVIDE THE APPOINTMENTS REMINDERS CALLS FOR THE PATIENTS ARE ON FUTURE SCHEDULE.

WE WILL MAKE CALLS TO PATIENTS TO REMIND THEIR APPOINTMENTS AT LEAST 48 HOURS TO PRIOR THE APPOINTMENTS. WE WILL MAKE TWO ATTEMPTS IN 48 HOURS AND WILL UPDATE THE STATUS IN THE SYSTEM.

IF THE PATIENT WANTS TO RESCHEDULE OR CANCEL THE APPOINTMENT WILL GIVE THEM A NEW DATE AND TIME AS PER THE OUR SCHEDULE.

WE WILL ALSO LET THE OFFICE KNOW ABOUT THIS CHANGE VIA EMAIL & SMARTSHEET.
